Mileage allowance

How to report mileage allowance in Kleer when you have driven a car for work, one trip at a time or several trips collected in a driving log. The allowance is paid out with your salary.

Have you driven a car for work, for example to a customer or a meeting? Then you can get mileage allowance. You report the trip in Kleer, and once it is approved the allowance is included in your next salary.

Distances in Kleer are in Swedish miles. One Swedish mile (mil) is 10 km.

Are you entitled to mileage allowance?

Your employer decides, and it is stated in your employment contract. If you are entitled to mileage allowance, there is a New mileage button under Expenses > Manage expenses. If the button is missing, ask your manager.

Your employer also decides how much you get per mil. It can differ between your own car and a company car. Up to a certain amount the allowance is tax-free. For your own car that is the Swedish Tax Agency’s amount, SEK 25 per mil in 2026. If you get more than that, you pay tax on the part above it. Kleer works out the split for you, and you see it under Summary before you save.

How to report

  1. Go to Expenses > Manage expenses and click New mileage.
  2. Choose whether you are reporting a Separate trip or a Driving log, see below.
  3. Fill in the fields and save.
  4. The trip ends up under Entries to be submitted. Submit it the same way as receipts, see Submit.

Kleer only stops you if the date or the mileage is missing, and for a separate trip also Start and End. Always write a purpose anyway. The person who approves can send the trip back if it is not clear what it was for.

Separate trip

One trip at a time. Kleer works out the distance and the allowance for you.

Field What you enter
Date The day you drove.
Purpose Why you drove, for example which customer you visited.
Start Where the trip started. Kleer suggests the address you used last time, or the company’s address the first time. Change it if you started somewhere else.
End Where you drove to.
Round trip Tick the box if you drove there and back. Kleer then doubles the distance.
Car Which car you drove, for example your own car or a company car. The allowance can differ between cars.
Mileage (one way) Kleer suggests the one-way distance based on the addresses. If it is not right, you can type another number.
Summary Your allowance, split into a tax-free and a taxable part.
Categories and Onward invoicing to Fill in if your company follows up trips per project or customer, or if the trip should be invoiced on to a customer.

Driving log

If you have driven many trips, for example during a month, you can report them all at once. You write your own driving log, a list of the trips, and attach it. In Kleer this becomes one entry with the total mileage.

Field What you enter
Date One date for the whole driving log. The dates of the individual trips are in your driving log.
Purpose What the trips were for.
Car Which car you drove.
Total Swe miles All the miles in the driving log together, including the way back.
Attachment Your driving log. Write the date, distance and purpose of each trip, so that the person who approves can understand what you have driven.
Summary Your allowance, split into a tax-free and a taxable part.
Categories and Onward invoicing to Fill in if your company follows up trips per project or customer, or if the trips should be invoiced on to a customer.

Are you a subcontractor?

Subcontractors set up in Kleer’s subcontractor module report mileage allowance the same way. The difference is that you must always choose a project under Onward invoicing to, just as with receipts.

The allowance per mil on the self-billing invoice is the same amount that is invoiced to the end customer. It can be set per project in Kleer. If nothing is set there, the Swedish Tax Agency’s standard amount is used, SEK 25 per mil in 2026. The amount is set by the Swedish Tax Agency, so check the current level there.
